ATTENTION EXHIBITORS:

There are to be no vehicles allowed on the show floor for show hours without permission from show management.

No children are allowed on the show floor during move in or move out as it is considered a construction zone during these times.

Exhibitor access to the show floor is only allowed 1 HOUR prior to show open on show days with the exception to opening day with your exhibitor badge.

EXHIBITOR BADGES

All exhibitors need to display their badge on show days to gain admittance to the show floor. 

Exhibitors are given the minimum number of badges allotted to their booth automatically (see chart below)  with no form needing to be filled out. If the number of badges needed for your staff doesn't exceed the amount shown below, then simply have your staff check in at the Exhibitor Help Desk during or before the show to receive their badge.

Please note that badges do not display exhibitor or company names on them but there is space for your business card.

100 square feet=6 free badges
200 square feet=8 free badges
300 square feet=10 free badges
400 square feet=12 free badges
Each additional 100 square feet gets an additional 2 badges.

If you need more than the number of badges allotted to your booth, then please fill out the  Extra Exhibitor Badge Order Form before January 3, 2025 and we will have them ready for you at check in.

DO NOT LEAVE YOUR BADGES IN YOUR BOOTH as you need them to gain access to the show floor. Replacement badges are $10 each if lost, left at home, left in booth, a dog ate them etc. 


BOOTH GUIDELINES

Review the booth guidelines to make sure your booth is designed to meet Marketplace Events and Calgary Stampede Event Services' standards:


**Please note that the Calgary Fire Department requires all materials (sheds, canopies, tents, temporary structures including signage in and hung above a booth) must be approved for indoor use and have a permanently attached label indicating conformance to CAN/ULC–S109, “Flame Tests of Flame-Resistant Fabrics and Films.”

BOOTH AWARDS & TIPS!

Each year, the Calgary Fall Home Show awards six exhibitors, each in a different category, for standing out from their competition and peers. The categories for the booth awards are listed below, accompanied by the criteria our panel of judges look for when selecting the winning booth and company. We value all of the hard work our exhibitors put in to create their displays and design their spaces and award those who go above and beyond to put their best foot forward.

 

Best In ShowRegardless of size, this booth displays the most unique display and design of any other in the show.
Best Large SpaceThis award goes out to the best booth that is 400 square feet or larger.
Best Medium SpaceThis award goes out to the best booth that is 200 - 399 square feet.
Best Small SpaceThis award goes out to the best booth that is 100 - 199 square feet.
Rookie of the YearThis award goes out to the exhibitor who is new to the show and built an award-worthy booth.

Things we look for:

• Meeting basic booth standards/expectations – height, signage, flooring, layout, etc 
• Full floor covering (no subfloor, concrete or terracover exposed) and quality of floor covering 
• Hard wall display (not mandatory but helps in the presentation of a professional display)
• Signage and signage quality
• No exposed studs or wiring (inside and outside booth)
• Paint and paint quality – taking the time to edge, tape seams, make the paint job look professional
• Wall quality – no visible damage
• Creativity and thought evident in booth design

Booth Bites Program 

Menus will be available on site at the Calgary Stampede Order Desk or through the Exhibitor Concierge team who will present on the floor during move-in and for the duration of the event. Payment (credit/debit) will be required when placing the order. 
 
Exhibitors will have to place their orders at least 2 hours before the meal service daily. It will allow time for the kitchen team to prepare their meals, make the packages and make sure that everything is displayed perfectly for when the food is delivered to the exhibitors. 

The Exhibitor Concierge team will provide the delivery of every “lunch box” directly to the exhibitors’ booths. These customized deliveries will be available at 2 different times options for every meal. This will allow exhibitors to take their break at their convenience, according to the hours of operation of the event.

ENHANCE YOUR COMPANY’S ONLINE EXHIBITOR LISTING

Your basic listing will be uploaded to the website when you book your booth. Within 24 hours you will receive an automated email to enhance your listing. This link can be used multiple times and you can make updates and changes to your listing until ONE day after the show commences. Proof of trade show insurance is mandatory for our shows. Coverage dates must include Move In and Move Out. We require a copy of your policy sent to Zoe Watters to keep on file before Jan 3, 2024.

EXHIBITOR MOVE IN AND MOVE OUT

Move In Hours: A Voyage Control Booking Email will be sent approximately 4 weeks before the show. 

As a reminder, you must set up a profile through Voyage Control and make a booking based on your provided code. Check your email for more information. If you cannot find it please contact your sales rep for details. Click Here for contact information. 

“Should I book a move in time even if I only have a few items to unload?”.....Yes! To ensure a smooth and stress-free move in; please book a time at the loading aprons, even if it ‘s just a few items. The BMO Centre will not allow access through the front entrance or side doors.

Removal or dismantling of exhibits or exhibit materials will NOT be permitted before 6PM on Sunday, January 12, 2025.

The halls are considered a construction zone during these hours. Absolutely no children under the age of 14 are permitted on the show floor during this time.

 




PARKING

Exhibitor parking is currently in any of the gray paid lots. However, this may change.

An update from Calgary Stampede:

Effective August 1, 2024, Stampede parking will be managed and enforced by Calgary Parking through the ParkPlus system. Exhibitors may order parking access through the exhibitor order portal, 10 days prior to the event start date at a discounted rate. Exhibitors who pre-purchase exhibitor parking will be emailed an event code, for a designated parking lot, prior to event move in to be entered daily, registering your license plate into the ParkPlus pay machine; pre-purchase codes cannot be entered on the Park-Plus App or website and must be entered daily.

After the pre-purchase cut-off, parking can only be paid for by registering your license plate at ParkPlus pay machines located in the parking lots or paying through the ParkPlus app for iPhone or Android.

Due to limited space and the ability to accommodate other events, FREE trailer and oversized vehicle parking is permitted only in lot 25a (620 25th Avenue SE).

Parking is available on a PER vehicle PER day basis.

 

 



SELLING OR SAMPLING FOOD OR BEVERAGE PRODUCTS?

 


Please send all forms to Zoe Watters at zoew@mpeshows.com, as well as to Alberta Health Services at least 30 DAYS BEFORE THE SHOW (December 13, 2024).

The following are required to fill out sales and sampling applications:

  • Any vendor that is selling food or beverage meant for consumption on site
  • Any vendor that is sampling any kind of edible product

The following are required to notify Marketplace Events and complete the AHS Vendor Notification Form:

  • All perishable items meant for consumption off site
The following are not required to fill out the sales and sampling application:

  • Spices
  • Commercially packaged products i.e. jams, coffee, tea, non-hydrated soups, energy bars, weight loss products
